Connecting Acumatica to dashboard.salesmatrix.com

In this guide, the dashboard.salesmatrix.com system is called Salesmatrix. Salesmatrix reads your sales data directly from Acumatica (including MYOB Acumatica, formerly MYOB Advanced) over its web services. There is nothing to install. You set up a user for Salesmatrix in Acumatica, enter its details when you register, and Salesmatrix imports your data every night.

Before you start

  • Your Acumatica site address, the address you sign in at, e.g. https://yourcompany.acumatica.com.
  • Acumatica 2024 R2 or later. Salesmatrix uses version 24.200.001 of Acumatica's Default web service endpoint. Your Acumatica administrator can check it is listed on the Web Service Endpoints screen.
  • An Acumatica administrator to create a user for Salesmatrix, as below.
  • An email address you can check now. It becomes the first administrator login for your Salesmatrix dashboard.

Set up a user for Salesmatrix in Acumatica

Salesmatrix signs in with a username and password, like a person would. Give it a user of its own rather than a staff member's login, so a password change or a staff departure never stops your imports.

  1. Create the user

    Create a user, e.g. salesmatrix, that signs in with a username and password.

  2. Give it read access

    Give the user's role at least view access to Customers, Contacts, Stock Items, Salespersons, Invoices and Memos and Sales Orders. Sales orders are read for the cost of each invoice line. Salesmatrix never changes anything in Acumatica.

  3. Note the company and branch

    Note the company (tenant) name you choose when signing in. If your site has several companies, Salesmatrix needs to know which one to read. A branch is only needed if you want Salesmatrix to sign in to a particular branch.

Register your company

  1. Open the registration page

    Go to dashboard.salesmatrix.com/Register/SWOTRegistration and fill in Company Name, Administration Email Address, Contact person name and, optionally, Contact No. Check that Country is right.

  2. Choose Acumatica and enter the details

    Choose Acumatica under Accounting Systems. These fields appear under Enter Id and Keys:

    Username The Salesmatrix user, e.g. salesmatrix

  3. Test the connection

    Click Test Connection. When Salesmatrix can sign in to Acumatica you see Successfully validated connection keys, and the Register button becomes available.

  4. Register and confirm your email

    Click Register. Copy the token from the email we send you into Enter token received on email on the Confirm Registration page and click Confirm Token. You can then sign in at dashboard.salesmatrix.com.

What Salesmatrix imports

Salesmatrix imports once a night, in a time slot between 12:00 and 17:00 UTC (late evening to early morning in Australia and New Zealand). Your first data appears the morning after you register. After that, each night reads only what changed since the last import.

Data From Acumatica
Customers Customers, with customer class, customer category, warehouse and salesperson as categories
Contacts Contacts linked to your customers
Products Stock items, with item class, default price and last cost
Sales Invoices with status Open or Closed, and credit memos as negative sales. Line costs come from the originating sales order
Salespeople Salespersons. Where an invoice has none, the customer's default salesperson is used

Manage the connection

Sign in and open Connection from the menu. Only administrators see this page. It shows your company, your system and the connection fields.

Test Checks that Salesmatrix can sign in to Acumatica with the details on the page
Connect Saves the details and starts importing
Disconnect Stops importing. You choose whether to keep the data already in Salesmatrix or remove it
ReConnect Starts importing again after a disconnect

Changing the password

If the Salesmatrix user's password changes or expires, imports stop until you update it. Enter the new password on the Connection page, click Test, then Connect. Salesmatrix carries on from where it stopped, so nothing is imported twice and nothing is missed. Setting the Salesmatrix user's password not to expire avoids this.

Troubleshooting

Test Connection fails

Sign in to Acumatica in your browser as the Salesmatrix user, using the same company. If that fails, the username, password or company name is wrong. If it works, check that the Instance URL is just the site address, with nothing after the domain.

The test works but imports fail

Usually the Salesmatrix user can sign in but can't see one of the screens listed in Set up a user for Salesmatrix, or the site does not offer endpoint version 24.200.001. Open Logs in the dashboard: the failing step names the data it could not read.

No data the morning after registering

Open Logs in the dashboard. A large first import can still be running in the morning; check again later in the day. If Logs shows an error, or nothing at all by the next afternoon, contact Salesmatrix.
