Connecting Odoo to dashboard.salesmatrix.com
In this guide, the dashboard.salesmatrix.com system is called Salesmatrix. Salesmatrix reads your sales data directly from Odoo over its API. There is nothing to install. You create an API key in Odoo, enter it when you register, and Salesmatrix imports your data every night.

- Which Odoo option to choose
- Create an API key
- Register your company

Before you start
- Your Odoo address, the address you sign in at, e.g. https://yourcompany.odoo.com.
- Your Odoo version. It decides which option you choose; see the next section.
- An Odoo user for Salesmatrix that can read Contacts, Products and Invoicing (customer invoices and the invoice analysis). A user of its own is best, so a staff member leaving never stops your imports. Salesmatrix never changes anything in Odoo.
- An email address you can check now. It becomes the first administrator login for your Salesmatrix dashboard.
Which Odoo option to choose
Salesmatrix lists Odoo twice, because Odoo 19 introduced a new API.
| Your Odoo | Choose in Salesmatrix | You enter |
|---|---|---|
| Odoo 19 or later | Odoo (JSON2) | Your Odoo address and an API key |
| Odoo 18 or earlier | Odoo | Your Odoo address ending in /jsonrpc, the database name, a username, and a password or API key |
To check your version, open Settings in Odoo and scroll to the bottom of the page.
Create an API key in Odoo
Sign in to Odoo as the Salesmatrix user, then:
-
Open Account Security
Click your avatar in the top-right corner, choose My Profile (Preferences in some versions), and open the Account Security tab.
-
Create the key
Click New API Key, confirm your password, and name the key Salesmatrix.
-
Copy it now
Odoo shows the key only once. Copy it somewhere safe before closing the window. If you lose it, delete it and create a new one.
Anyone with the key can read Odoo as the Salesmatrix user. Only enter it on dashboard.salesmatrix.com. To cut Salesmatrix off, delete the key under Account Security.
Register your company
-
Open the registration page
Go to dashboard.salesmatrix.com/Register/SWOTRegistration and fill in Company Name, Administration Email Address, Contact person name and, optionally, Contact No. Check that Country is right.
-
Choose your Odoo option and enter the details
Choose Odoo (JSON2) or Odoo under Accounting Systems. The fields under Enter Id and Keys depend on which you chose.
Odoo (JSON2), for Odoo 19 or later:
Field Enter Instance URL Your Odoo address, e.g. https://yourcompany.odoo.com API Key The key you created Database (optional) Only if your Odoo server hosts several databases; otherwise leave empty Odoo, for Odoo 18 or earlier:
Field Enter Instance URL Your Odoo address followed by /jsonrpc, e.g. https://yourcompany.odoo.com/jsonrpc Database Your database name. On odoo.com it is usually the first part of your address, e.g. yourcompany Username The Salesmatrix user's login, usually an email address Password / API key The API key you created. The user's password also works, but a key is safer -
Test the connection
Click Test Connection. When Salesmatrix can reach Odoo you see Successfully validated connection keys, and the Register button becomes available.
-
Register and confirm your email
Click Register. Copy the token from the email we send you into Enter token received on email on the Confirm Registration page and click Confirm Token. You can then sign in at dashboard.salesmatrix.com.
What Salesmatrix imports
Salesmatrix imports once a night, in a time slot between 12:00 and 17:00 UTC (late evening to early morning in Australia and New Zealand). Your first data appears the morning after you register. After that, each night reads only what changed since the last import.
| Data | From Odoo |
|---|---|
| Customers | Companies and individuals you sell to |
| Contacts | The people linked to each customer |
| Products | Products, with product category, sales price and cost |
| Sales | Posted customer invoices, and credit notes as negative sales. Draft invoices are not imported until they are confirmed |
| Salespeople | Odoo users who appear as the salesperson on invoices |
An invoice changed after it was first imported, including one reset to draft and confirmed again, replaces its earlier version on the next night's import.
Manage the connection
Sign in and open Connection from the menu. Only administrators see this page. It shows your company, your system and the connection fields.
| Button | What it does |
|---|---|
| Test | Checks that Salesmatrix can reach Odoo with the details on the page |
| Connect | Saves the details and starts importing |
| Disconnect | Stops importing. You choose whether to keep the data already in Salesmatrix or remove it |
| ReConnect | Starts importing again after a disconnect |
Replacing the key
If you delete the API key or it is revoked, create a new one, enter it on the Connection page, click Test, then Connect. Salesmatrix carries on from where it stopped, so nothing is imported twice and nothing is missed.
Upgrading to Odoo 19
After an upgrade to Odoo 19 or later, contact Salesmatrix to move your connection to Odoo (JSON2). Your imported data stays in place.
Troubleshooting
Test Connection fails
- Check you chose the option for your Odoo version.
- For Odoo (18 or earlier), the Instance URL must end in /jsonrpc, and the database name must be exact.
- For Odoo (JSON2), the Instance URL is just the address, with nothing after the domain.
- Paste the API key again. It is shown only once, so if in doubt, create a new one.
The test works but some data is missing
The Salesmatrix user probably can't see part of Odoo, most often the invoice analysis. Check that the user has Invoicing access, then open Logs in the dashboard: the failing step names the data it could not read.
No data the morning after registering
Open Logs in the dashboard. A large first import can still be running in the morning; check again later in the day. If Logs shows an error, or nothing at all by the next afternoon, contact Salesmatrix.
